Terms & Conditions

Venue Hire & Event Catering at North Bondi Surf Life Saving Club (NBSLSC) is governed by the Terms and Conditions outlined below. Payment of any Venue Hire and/or Event Catering fees or charges by any person constitutes acknowledgment and acceptance of these Terms and Conditions. Please note that these Terms and Conditions are subject to change at any time at the sole discretion of NBSLSC and will supersede any prior executed agreement.

Venue/Room Hire

  1. Booking Confirmation
    To confirm and secure a booking, the following are required:

    • Completion of the Booking Form, including signature for credit card authorisation and deposit, along with agreement to these Terms and Conditions.

    • Full payment of the venue hire fee to secure the booking date.

  2. Cancellations & Date Changes

    • Cancellations made 12 weeks or more prior to the booked event date will receive a full refund of the deposit.

    • Changes to the event date within 12 weeks of the booked date are permitted.

    • Cancellations within 12 weeks of the event will result in the forfeiture of the full venue hire fee, unless a future booking is made.

  3. COVID-19 Restrictions
    If NSW Government restrictions due to COVID-19 prevent the event from proceeding, NBSLSC will provide a full refund of venue hire fees or offer rescheduling to another date.

  4. Bar Service
    All bar service will cease 30 minutes prior to the event's scheduled end time, in accordance with NSW Liquor & Gaming licensing guidelines.

  5. Beverage Policy
    BYO or sponsored beverages are not permitted unless prior written agreement is obtained.

  6. Air Conditioning
    The Hirer acknowledges that the venue does not have air conditioning.

  7. Rate Adjustments
    Rates outlined in the original quote may be subject to increases if the booking is postponed. This includes fees associated with room hire, bar staff, floor managers, security, cleaning, beverages/packages, kitchen hire/cleaning, and any extras not included in the room hire fee.

  8. Staff Requirements

    • A minimum of 2 staff members are required for any evening and/or weekend event. They arrive 30 minutes prior to the event start time and stay until the venue is cleaned up after the event. Rates are outlined in the original quote.

  9. Floor Manager Requirement
    A floor manager is required for any evening and/or weekend event with more than 40 guests. Floor managers arrive 1 hour before the event start time and stay until all guests have left. Rates are outlined in the original quote.

  10. Kitchen Hire/Cleaning Fee
    An external kitchen hire/cleaning fee applies for the use of non-preferred caterers. Rates are outlined in the original quote.

  11. Additional Fees
    The Hirer acknowledges that there are additional fees associated with hiring the space that are not included in the room hire fee. Rates are outlined in the original quote.

  12. Security Fees
    A security fee may apply based on the number of guests and the type of event. Security personnel arrive 30 minutes before the event start time and stay until all guests have left. Rates are outlined in the original quote.

  13. No Smoking Policy
    The venue is 100% smoke-free, including vaping. Anyone caught smoking or vaping inside the Club or on any balconies/terraces will be asked to leave immediately.

  14. Smoking/Vaping Outside
    Smoking or vaping must occur at least 5 meters away from any entrance to the venue.

  15. Event Cancellation/Rescheduling by NBSLSC
    NBSLSC reserves the right to cancel or reschedule any booking. If the event cannot be rescheduled, a full refund will be provided to the Hirer.

Decorations, rubbish removal & damage costs

  1. Decoration Guidelines

    • Decorations must not be adhered to walls, ceilings, or glass.

    • Adhesive hooks, tacks, nails, screws, or similar are prohibited.

    • Open flame candles are not permitted unless prior written approval is obtained. Battery-operated candles are recommended.

    • Sparklers or confetti, including balloons containing confetti, are not allowed.

  2. Exterior Signage
    No signage is permitted on the exterior of the building.

  3. NBSLSC Memorabilia
    No NBSLSC pictures or memorabilia may be removed or covered without prior permission.

  4. Additional Decoration Requirements
    Any additional decoration requirements must be discussed and agreed upon at least 14 days prior to the event.

  5. Damage Liability
    The Hirer is liable for any damage to NBSLSC equipment and premises during the venue hire, including setup and pack-down. Repair costs will be debited from the authorized credit card, with an itemization of repair costs provided.

  6. Examples of Damage Costs

    • Repair costs for any damage to the building.

    • Replacement costs for items damaged beyond repair.

    • Steam cleaning of carpets due to spills or food stains.

    • An additional cleaning charge of $300 will apply if confetti, glitter, etc. is used.

    • Additional repair costs for making good the ceiling and/or wall surfaces if residue or marks are left from hooks, tape, or decals.

  7. Credit Card Authorization
    An authorized credit card number must be provided on the Booking Form for any reasonable damage repair costs.

  8. Repairs
    Any damages will be repaired by NBSLSC contractors post-event.

  9. Rubbish Removal
    The Hirer is responsible for removing all rubbish, food, boxes, decorations, etc., from the premises. If a skip bin is required, it must be arranged with Waverley Council. Failure to do so will incur a removal fee of $1,000 + GST.

Occupational health & safety, liability, and indemnity

  1. Responsibility for Personal Property
    NBSLSC is not responsible for theft or damage to guests' personal property.

  2. Responsibility for Goods Left at Venue
    NBSLSC is not responsible for any goods left at the venue by clients, agents, or subcontractors. All items must be removed at the conclusion of the event unless prior arrangements have been made.

  3. Equipment Safety
    All electrical or mechanical equipment brought onto the premises must be safety tagged. All third-party operatives (e.g., DJs, entertainers) must provide a certificate of currency of Public Liability insurance 14 days prior to the event. Failure to meet these requirements may result in refusal of entry for equipment and/or entertainer.

  4. RSA Compliance
    NBSLSC adheres to RSA (Responsible Service of Alcohol) laws. Qualified staff must be provided for beverage service. NBSLSC staff have the right to remove or refuse entry to any person whose behavior is objectionable, improper, or undesirable.

  5. Alcohol Consumption Area
    All drinks must be consumed within the top function space only. Alcohol and glasses must not be taken outside the venue space.

  6. Non-Smoking Venue
    NBSLSC is a non-smoking venue, including terraces/balconies. Smoking/vaping must be done off-site.

  7. Insurance Coverage
    Any external party hired by the Hirer to provide services as part of the function must have their own Public Liability Insurance.

  8. Indemnity
    The Hirer indemnifies NBSLSC against all damages, losses, claims, actions, liability, expenses, and costs arising from:

    • A breach of this agreement by the Hirer.

    • Injury or damage to property in connection with the event.

    • Failure to pay or discharge taxes, liabilities, costs, or other expenses.

  9. Release of Liability
    To the fullest extent permitted by law, the Hirer releases NBSLSC and its agents, employees, and contractors from all claims and demands resulting from any accident, damage, loss, injury, or death, except where caused by a deliberate act, negligence, or default by NBSLSC.

PAYMENT TERMS AND CONDITIONS

  1. Payment Due Date
    All outstanding balance payments are due 21 days after the date of the invoice.

  2. Late Payment Reminder
    A courtesy late payment reminder email will be sent to the Hirer on or around day 15.

  3. Late Payment Interest
    A compounded interest rate of 3% per annum will apply if full payment is not received within 21 days of the invoice date.
